Creating an Audit That Drives Real Business Impact

Scenario

Our service has grown quickly and with growth comes complexity. Processes that once were simple, are now more complex and require more steps. It has become clear we need a formal audit to ensure that we do not miss any steps.

The Challenge

We need to ensure accuracy, identify risks, and streamline inefficiencies, all while ensuring the day-to-day tasks are competed in a timely manner.

The Turning Point

To check that all steps in each process are completed, we are creating audits. The audits will help us to check that the team are not missing any steps.

Workflow

  1. Review process: Review main key steps that can be tracked for each process.

  2. Spreadsheet: Input all relevant key steps as column headings.

  3. Weightings: Identify how important each step is from 1-3 (where 1 is important, and 3 is extremely important).

  4. Weighting percentage: Calculate the percentage weighting use a formula.

  5. Testing: Conduct an audit on few sample cases.

  6. Audit timeframe: Decide how often you will conduct the audit.

  7. Action: Conduct the audit in the timeline decided.

Result/Impact

  • Identifies the steps that are missed or not done accurately.

  • Helps us improve a process if there are common inefficiencies.

  • Provides a percentage which will help us with setting key performance targets to staff.
